Has anyone gained insights into Policy Management software solutions focused on streamlining the approval and general workflow process? We currently use a homegrown system that is not user-friendly for our policy team or stakeholders. After initial research, our top contenders are DocTract and Converge Point. We also considered Bryter, Compliance Bridge, Diligent, Josef, Navex Policy Tech, OnSpring, and Qualitest. Although we like ServiceNow, it didn't meet our needs due to workflow complications.

We partner with an EA/BPM/CMS solution called QualiWare. It has a robust policy management framework where you can capture, visualize, and analyze key parts that need to be enforced or have an influence on the way a system, process or information (GDPR for example) needs to be managed.

By creating a regulation or policy model, you can update and track the changes to specific areas within a policy overtime and interrogate which areas within the business are affected by these changes and who needs to be informed.  There is also a robust workflow and approval system that can tailored to individuals or roles (good for teams) for approval and changes to policies and regulations within the organization.

You might wish to consider unpacking requirements based on the specific needs:

Option 1 - If you are just looking for a central repository to manage and distribute policy documentation then there a number of solutions available, some of which have already been suggested.

Option 2 - If you are looking for a more robust way to manage policies and regulations in a central repository and have these mapped to activities, systems, information types, and roles/responsibilities with the ability to conduct audits and ensure compliance throughout the organization, tools like QualiWare would more likely fit the bill.

Thanks Mike. Very helpful on the options side. I am supporting our leader of policy management within legal who has good program in place but needs better tools.

Thanks for your note back Marc. We utilize QualiWare more for business process modeling, optimization and costing but I’d be happy to put you in touch with someone who could better explain how their solution can be applied to policy management and/or sustainability reporting if that too is a requirement. They’ve done lots of great stuff in Europe with CSRD. Cheers.

We are using a “homegrown” system at Allegro.  I have used ServiceNow in the past and I thought it was customizable based on user needs.

Organon doesn’t have any Policy Management software; before we spun there was a significant effort to streamline/simplify policies to a critical few Corporate Policies and then Functional Policies.  They are all searchable via our Intranet and linked to a central page.
