Is there a simplified approach for an Intake Process when a new technology hits the market? With the increased interest in AI solutions, companies are having a challenge keeping up with internal user demand for automation using AI. Requests are coming faster than internal teams can respond, and several organizations are relying on simple tools such as Excel, Sharepoint, etc to capture the inquiries or requests from users. This process should give the owner good analytics of the requests submitted.

I undertand this question as related to Project Portfolio management. A simple way to build this would be : At Org level, the IT department needs to define "portfolio owner" : these portfolio would reflect every Enterprise Functions and Business Areas. Then the IT Department provides a simple form that anybody may submit with all the expected informations and details about the request. The PPM owner will assign each request to the right Portfolio, from this it is up the portfolio's owner to take action and drive the next steps.

We have a formal vetting process for new tools, technologies, and applications that is managed by an expert and reviewed by an infosec expert. We also strongly encourage the elimination of two legacy apps or tools for every new one we add, with the idea being that the list should never get longer and ideally should get shorter as more power is concentrated in to AI-enabled apps vs. small point solutions.

To me the simple way is to have a standard business template for defining ROI in your company and use that to prioritize projects with the highest returns. As an IT leader, I'm a business person with an expertise in technology.  If the demand for a new technology doesn't make business sense, then it doesn't make the list.  Whatever remains will likely be a small list and I would keep in excel, so it's easy to sort based on some key qualities like ROI, value, cost, and time just to name a few.
